The 10 business tasks you should delegate to AI today (and how to do it without being tech-savvy)
I'm going to be direct from the start because this topic is full of exaggeration and smoke: artificial intelligence is not going to do your business for you. It's not going to replace your judgment, your experience, or your relationship with your clients. What some people on the internet promise is not real.
What is real, and I say this with concrete data, is that entrepreneurs who integrate AI can automate between 60% and 70% of their repetitive tasks, and that translates into real time that you can invest in what no one else can do for you: create, connect, strategize, and sell. HubSpot
The problem is not the tool. The problem is that most people don't know exactly what to delegate to it. They ask for isolated things, receive mediocre results, and conclude that AI is not useful for their type of business.
Task 1: Answering frequently asked questions in writing
If you receive the same messages over and over again, whether by Instagram, WhatsApp or email – how much it costs, what it includes, how the process works, when there's availability – you are investing valuable time in something that AI can handle with surprising quality.
How to do it: give ChatGPT or Claude the context of your business, your services, your prices, and the most frequently asked questions you receive. Ask it to generate response templates for each, written in your tone and voice. Save them in a document. The next time a frequently asked question comes in, you copy, adjust in two seconds, and send.
Task 2: Generate content ideas for weeks or months
The blank page is the number one enemy of consistency. How many times have you sat down to create content and the first obstacle was simply not knowing what to talk about today.
How to do it: tell the AI who your audience is, what your three content pillars are, and on which platforms you publish. Ask it for 30 content ideas for the month, organized by pillar and format. These are not finished texts, they are starting points that you develop with your voice and judgment.
The time you used to spend thinking about what to publish, you now invest in creating. This difference, sustained over time, completely changes your consistency.
Task 3: Write the first draft of your texts
Emails, service descriptions, social media posts, sales pages, client proposals. Everything that requires writing from scratch can have a first draft generated by AI in minutes, which you then review, adjust, and bring into your voice.
How to do it: never ask the AI for the final text. Ask for the draft. Tell it the goal of the text, who it's for, what you want the reader to feel, and what action you want them to take. The result will be a starting point that saves you between 60% and 70% of writing time.
The key is to always review. AI doesn't know your nuances, your history, or your relationship with your audience. You do.
Task 4: Research trends and competition
Before creating content, launching a product, or making a strategic decision, you need to understand what's happening in your market. This involves hours of research that AI can do in minutes.
How to do it: ask Claude or ChatGPT with web search enabled to research current trends in your industry, what's working on social media in your niche, what questions your audience is asking on Google or forums, and what your competitors are communicating. Ask for a summary with actionable conclusions, not an endless list of data.
What used to take two hours of navigating between tabs now takes ten minutes of reading.
Task 5: Create summaries of meetings and client sessions
If you work with clients in consulting or mentoring sessions, knowing what was discussed, what was agreed upon, and what the next steps are is essential. And writing that summary after each session consumes time that you could use for something else.
How to do it: record your sessions with your client's permission using tools like Otter.ai or Zoom's transcription. Then paste the transcription into Claude or ChatGPT and ask it to extract the key points, agreements, and next steps in a clear format. What used to take you 30 minutes to write, you now have in two.
Task 6: Generate titles and hooks for your content
The hook is what determines whether someone reads what you wrote or not. And creating hooks that work requires practice, time, and creativity. AI can give you ten options in a minute for you to choose the best one.
How to do it: tell the AI the topic of your content, who it's for, and what emotion or reaction you want to generate. Ask for ten title or first-line options with different approaches: one that generates curiosity, one that is counterintuitive, one that uses a specific fact, one that asks a direct question. Then you choose and adjust.
Task 7: adapting content to different platforms
Creating content for Instagram, LinkedIn, TikTok, and email simultaneously is exhausting if you do it from scratch for each platform. AI can take a central idea and adapt it to the tone, format, and length of each channel in minutes.
How to do it: write your main content, the one that took you the most effort, in the format you master best. Then give that text to the AI and ask it to adapt it for each specific platform, with the correct tone and length for each. A blog can become a LinkedIn post, three Instagram stories, a text thread, and an email in less than ten minutes.
That's what scaling content without scaling time means.
Task 8: replying to follow-up emails and proposals
Writing post-sales follow-up emails, proposals for potential clients, or replies to people who showed interest but didn't buy is a task that consumes more time than it seems and is often postponed precisely because it requires concentration.
How to do it: give the AI the context of the conversation with that client or prospect, what you need to communicate, and the tone you want to maintain. Ask for a draft. Review it, personalize it with specific details about that person, and send it. What used to take twenty minutes to write now takes five.
Task 9: creating frequently asked questions for your website or sales page
Well-written FAQs reduce purchasing friction because they answer doubts that stop someone from taking the plunge. Creating them from scratch is a process that AI can greatly accelerate.
How to do it: tell the AI what your service is, how much it costs, how it works, who it's for, and what the most common objections you hear are. Ask it to generate the 10 most relevant frequently asked questions with their answers, written in your tone. Then you review, adjust with your real perspective, and publish.
Task 10: generating reports and analysis of your metrics
If you have data from your social networks, email marketing, or website but don't know how to interpret it or don't have time to analyze it in depth, AI can help you draw concrete conclusions.
How to do it: copy and paste the data into a Claude or ChatGPT chat and ask it to analyze them, identify patterns, point out what's working and what's not, and give you concrete recommendations based on those numbers. You don't need to be a data analyst to make decisions based on real evidence.
What AI cannot do and you should never delegate to it
This is as important as everything above. AI cannot build your relationship with your audience. It cannot replace genuine conversation with a client. It cannot make strategic decisions with the full context of your business. It cannot generate the trust that comes from years of showing real results.
AI automates repetitive tasks so that people can focus on higher-value work. That's exactly what it should do in your business: free up your time and energy for the things only you can do, connect, create with intention, and make strategic decisions with your own judgment.
One last point about the cost
Starting with tools like ChatGPT, Claude, or Gemini does not require technical knowledge, and the cost is between 20 and 50 dollars per month per user for premium tools (or sometimes less in Latin American countries). That's less than the cost of dinner for two people. If that cost gives you back ten hours a month of work that you can invest in income-generating activities, the return is evident.
You don't need complex automations or programming knowledge to start. You need clarity about which tasks are taking up your time and the decision to start delegating them intelligently.
